Scheduling Representative

Job Summary:

By effectively scheduling employees, the Scheduling Representative helps to ensure that Company objectives are achieved and that all deadlines are met while following the guidelines of the Collective Bargaining Agreements (CBAs). The right candidate will possess the ability to multitask and provide quick responses to production problems. The Scheduling Representative must know how to shift resources and ensure that employees and needed units are fully staffed to meet the Company s requirements. This position is responsible for monitoring the field staffing levels and work with the Recruiting Department to ensure that the needs of the Company are met. This individual will also be working closely with the HR, Payroll, and Leaves Departments to ensure all employees are clear and approved to work.

Essential Duties and Responsibilities:

  • Coordinate filling vacant long and short-term schedules based on company demand for 24hr/7 day a week calendar
  • Keep ePro Scheduler updated for employee schedules, including working, non-working hours, and sick time by coordinating all changes to same day and future staffing based on staffing levels and demands predicted by the Company
  • Review expired certification report and replace employees as needed for same and next day schedules
  • Review and approve or deny PTO requests and replace openings with qualified employees
  • Review the leave calendar and find replacements to cover those shifts as needed
  • Process Change of Schedule and Change of Status requests
  • Coordinate and schedule college student ride-alongs
  • Create and staff immediate shifts for long distance transports
  • Send end of day message
  • Document probationary employees not in compliance with paperwork
  • Maintain and update Time and Attendance tracker to be used by HR and Labor Relations
  • Understand scheduling functions in relationship to payroll, such as earning codes, PTO and Sick Time, and Payroll Options
  • Be fully educated on the CBAs to remain in compliance while completing job duties
  • Perform other duties as assigned

Minimum Qualifications:

  • High School diploma or equivalent
  • 3 years of experience in a fast-paced office or related area
  • Excellent verbal, interpersonal, and written communication skills
  • Advanced knowledge of Microsoft Word and Excel programs
  • Excellent computer skills with ability to learn scheduling software quickly
  • Exceptional problem-solving skills while working with tight deadlines
  • Capacity to manage a busy workload with high productivity
  • Maintain a positive Company image to all personnel
  • Must possess a high attention to detail and be exceptionally organized
  • Ability to work collaboratively with multiple departments with enthusiasm
  • Ability to read and understand the Collective Bargaining Agreements (CBAs)
  • Ability to diagnose problems and identify and drive appropriate solutions

Physical Demands:

  • Requires frequent repetitive hand movements and prolonged sitting, standing, walking, reaching and grasping
  • Occasional pushing, pulling or moving/lifting up to 50 pounds of heavy supplies and equipment
  • Extensive use of keyboard computer
  • Must be able to hear and communicate clearly to perform job duties in person and over the telephone
  • Adequate vision required to be able to read information from printed sources and computer screens

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
