The Payroll Administrator oversees and is responsible for all duties related to payroll, including but not limited to processing payroll for all stores, issuing and distributing paychecks, managing direct deposits, benefits withholding, payroll deductions, garnishments and levies, W-2s, wage and hour law compliance, and paid leave, vacation and sick time tracking and reporting.
This job is physically located in Cotati, CA.
ESSENTIAL DUTIES AND RESPONSIBILITES:
Initiate and process bi-weekly payroll for all stores.
Check and verify all employee timesheets, including hours worked, time off requests, sick and vacation hours, and training hours for completeness and accuracy.
Enter all employee payroll deductions, including medical, dental, & vision insurance, court-ordered child support, wage garnishments and levies, and tax withholdings and check for correctness/accuracy.
Routinely check for insurance and 401(K) loan payment arrearages.
Check and verify all wage increases/changes, overtime compensation, shift differentials, bonus payments, and approved reimbursements.
Work with BAE LV GM to ensure tips are reported accurately each pay period.
Respond to questions and provide information to employees about all payroll related matters.
Respond to and resolve any issues employees may have regarding timesheets, hours worked, or any other payroll related matter.
Perform regularly scheduled audits to check for FT/PT status for benefits eligibility.
Perform regularly scheduled audits to compare health insurance deductions to monthly invoices.
Routinely communicate and collaborate with HR Manager, HR Assistant, and Administrative Assistant to maintain most recent and correct employee data.
Set up and maintain employee direct deposits, including changing or updating bank information when requested.
Provide bi-weekly payroll summary reports to Owners.
Provide bi-weekly tip report to Centralbooks.
Ensure proper delivery of all employees' paychecks and pay statements on designated pay days.
Create manual and final checks when needed or requested; audit outstanding checks and reissue as needed.
Prepare and submit the ACA 1095B and 1095C forms to the IRS annually.
Review and submit the 401K 5500 form annually.
Assist with maintaining and purging I-9's annually.
Prepare and submit all required filings such as EEO-1 data to the DFEH and CA Pay Data report to the EEOC.
Audit outstanding paychecks and reissue to affected employees.
Send quarterly reports for 401(K) terminated employees and process payouts for all accounts under $1K and $5K.
Allocate Indeed charges for all store outlets.
Fulfill and complete all outside requests for employment verifications, wage garnishments, and child support orders.
Create and maintain SOP's related to all payroll functions.
Create ad hoc reports as requested.
Work closely with IBS to set up new earnings codes, deduction goals, and accrual factors.
Required to attend all mandatory meetings and training when scheduled.
Perform other duties as needed or requested.
MINIMUM QUALIFICATIONS AND SKILLS:
Must have or possess:
AA degree or certificate in accounting with a minimum of 3 years of payroll experience and/or training; a combination of practical experience and education will be considered as an alternative.
High proficiency in Microsoft Office, including Word, Outlook, and Teams; advanced proficiency in Microsoft Excel.
Must have working knowledge of payroll software and/or systems.
Current and working knowledge of HR laws surrounding pay, payroll, time off, leaves of absence, and other payroll related laws, rules and regulations.
Must have the ability to balance and reconcile, as well as research and resolve discrepancies.
Excellent listening and clear written and verbal communication skills (English).
Strong interpersonal skills.
Extremely strong numerical aptitude and/or accounting skills.
Extremely strong organizational skills and attention to detail.
Ability to establish and meet schedules and deadlines utilizing excellent time management skills.
Must be able to work independently, as well as collaboratively, and be self-motivated.
Proven ability to problem-solve and strategize.
Working knowledge of general office equipment including copier, fax, and phone system.
Must be comfortable with shifting priorities and deadlines.
Interest and experience in the restaurant and/or hospitality industry a plus.
PHYSICAL REQUIREMENTS:
Must be able to sit for extended periods of time, up to 8 hours.
Must be able to use vision to read computer screen and paper documents.
Must be able to occasionally move, lift, carry, push, pull, and place objects equal or up to 25 pounds without assistance.
